Catering BEO & Quote Kit

Run every event on documents, not memory — and price it before you promise it

Catering suites meter you $99–229 per month and lock BEO templates behind their top plan. This kit is the document system a single-location caterer actually needs: Banquet Event Order templates for six event types in English and French, a menu-cost & quote calculator, the weekly event SOP, staffing and delivery-routing checklists, a deposit policy, and the follow-up emails — written out, ready to use tomorrow morning. $42 once — no subscription.

What's inside the kit

One zip: 12 BEO templates in two languages, the calculator in two forms, and the operating documents that keep a catering week sane — plain files you own, in the tools you already use.

BEO templates

6 event types, 10 standard blocks

Wedding, corporate, buffet, cocktail, drop-off and full-service — each on the same 10-block layout: event info, counts, menu, rentals, timeline, kitchen pull sheet, staffing, billing, signatures. Hand anyone on the crew the BEO and they can find their part of the day.

Bilingual

English + French, same numbers

Every template ships in English and in French — identical blocks, so the kitchen reads the feuille de préparation while the client signs the English BEO, and both describe the same event. The pricing suites sell English only; here the team's language is included.

Calculator

Menu cost & quotes — web + spreadsheet

An offline web calculator (double-click, nothing to install) prices a dish with honest waste/yield, then builds a full event quote — staffing, service charge, tax base, deposit — and copies it into the BEO. Same numbers as ready-made spreadsheet sheets for Google Sheets/Excel.

Event ops

SOP, roster, routing, allergens

The weekly loop from booking to close-out, a costed staffing roster, a delivery-routing checklist that routes by cold chain and clock instead of map distance, and the allergen form with a kitchen back-form and named tray runners.

Sales & money

Approvals, deposits, proposal, invoice

The client-approval SOP (inquiry → proposal → deposit → signed BEO), a deposit and cancellation policy template with the guest-count guarantee at its center, plus proposal and invoice templates that reuse the exact same line names — proposal, BEO and invoice always agree.

Follow-up

6 emails + 1 call, written out

The sequence that books events while you're cooking: same-day proposal, day-3 status, day-8 value email, day-14 clear close, one voicemail script, and the two post-event emails (thank-you + review, and the stay-in-touch that brings the second booking).

What this kit does not do

No software, no subscription, no dashboard. The files are Markdown, CSV and HTML — they open in Word, Google Docs, Excel and any browser. You own them. There is nothing to log into and nothing that meters you monthly; if you stop paying us, the documents keep working.

Not tax, legal or accounting advice. The calculator's tax and VAT profiles are editable examples (US sales tax, French TVA, German USt) — the rate and base you actually file with wins, and the deposit-policy template should get one pass from your own advisor before you send it to clients. The kit helps you calculate and document; it does not replace your accountant.

No outcome promises. The kit organizes pricing, paperwork and follow-up. Whether bookings come depends on your food, your market and your follow-through — anyone promising otherwise is selling you something else.

How you'll use it

The paperwork of your first event done in about 20 minutes on day one — then one 90-minute planning block a week.

Day 1 — price a dish

Ingredients in, menu price out

Open calculator.html, enter what you buy, what you pay and an honest waste %. The kit prices per portion at your target food-cost % and rounds to the quarter for a readable menu.

Day 1 — quote & BEO

One number set, straight into the BEO

Step 2 of the calculator builds the full quote — staffing, service charge, tax base, deposit — and copies it as text. Paste it into block I of the matching BEO template; proposal, BEO and invoice now share line names.

Every week — the loop

90 minutes that run the business

The event SOP's weekly block: review live BEOs, build the staffing roster, chase the final counts, draft delivery routes. Day-of, the captain runs the briefing, the billed count, the change log and the close.

The metered suites — and the one-time kit

Published pricing of the catering-management category, checked on the vendors' own pages 2026-09-20. Nobody sells direct below $99/month — and BEO templates are literally a paid feature.

Sources: caterease.com/pricing and caterzen.com/pricing, both opened 2026-09-20; "billed annually" applies to every Caterease plan and module figure above, and the $1,924 year-one figure is arithmetic from their published numbers (12 × $99 + 12 × $28 + 2 × $200 launch fees). Subscriptions change often — re-check before you buy anything, from them or from us. The suites are full management platforms; this kit deliberately is not one — it is the document system you can start with tonight and keep even if you later outgrow it into their software.

One price. The paperwork is yours.

No monthly plan, no per-seat meter, no top-tier gate on templates — the suites already charge enough of those.

Frequently asked questions

Is this another catering-management platform?

No — there is no app to log into and no monthly meter. It is the document layer those suites automate: BEOs, quotes, staffing, routes, deposit terms and follow-up, as files you own. The suites run $99–229 per month and gate their BEO templates behind higher plans; this kit is $42 once and works from the day it lands in your downloads.

Who is it for?

Single-location caterers, restaurant catering arms, and small event caterers in the US/UK/EU — especially teams where part of the crew works in French. If you run events from memory, group chats and a scrap of paper, this is the system that replaces that. If you already run a full suite and love it, the kit is the cheap way to standardize documents for the crew that won't log in.

Why English and French?

Because the people cooking and carrying trays are not always the people answering the client's email — and no incumbent suite ships their templates bilingually. Every BEO in the kit exists in both languages with identical blocks: the client signs English or French, the kitchen reads the pull sheet in whichever the chef thinks in, and the numbers stay identical. More languages are on the roadmap as demand shows up.

What do I need to open the files?

Nothing new. Templates are Markdown (open in Word, Google Docs, or any editor), the spreadsheets are CSVs (import into Google Sheets or Excel — formulas included), and the calculator is an HTML file: double-click it in any browser, it works offline and nothing leaves your machine. Export any BEO to PDF from Docs or Word when the client needs to sign.

Does the calculator handle my tax rate?

It ships with editable example profiles — US sales tax on food + service, French TVA at 10% and 5.5%, German USt at 19%, or none — and you set the rate and base that you actually file with. The kit is explicit about this: it helps you calculate, it is not tax advice, and your accountant's number wins.

What is the refund policy?

If the kit doesn't fit how you work, write to us within 14 days of purchase and we refund in full — the files are yours to keep or delete. One refund per purchase; we only ask for optional feedback.
